Terms and Conditions
Payment policy
- Payments for Standard and Early-Bird Registration may be made via credit card or bank transfer. No other method of payment will be accepted for these forms of registration. NSCJ bank details are available here.
- All payments must be made in Pound Sterling (GBP).
- Delegates are responsible for paying any transfer and/or currency conversion fees incurred.
- Payments for On-Site Registration may be made via credit card or cash. A receipt can be produced on request.
- Apart from cash payments, all payments must include the registration invoice number in the payment reference for processing purposes. If we are unable to identify a payment, it will be returned. Any charges incurred are to be paid by the recipient.
- Credit card payments incur a 2.49% surcharge to be paid by the delegate.
- Credit card payments require security validation through google.com. If google.com is blocked in your country, you may complete the transaction through a proxy or VPN. Alternatively, you may use a bank transfer.
- Any prices on this website do not include UK VAT (Value Added Tax). All delegates are required to pay 20% VAT, with the following exceptions:
- Delegates from the EU who are able to supply EU VAT Number from their institutions pay no VAT.
- Delegates from outside the EU who belong to a company or public institution pay no VAT.
Registration policy
- Early Bird registration is available as detailed on the relevant event page.
- Standard registration is available as detailed on the relevant page.
- Registration via the online registration form must be completed by the date shown on the relevant event page.
- Delegates must attend the conference and present their paper in order to receive a Certificate of Attendance & Presentation.
- Delegates who wish to attend the field trip should specify this on the registration form. Due to advance booking, spaces cannot be guaranteed to any delegates who fail to do so, nor can it be guaranteed that there will be any remaining spaces for delegates relying on On-Site Registration. Please note that there is no difference in attendance costs regardless of whether or not you attend the field trip.
- Your invoice number is your conference badge number. Please make a note of this, as you will need it in order to pick up your conference package.
- The registration fee covers all scientific sessions, conference materials, certificate, welcome reception, breaks, three hot lunches, as well as the Closing Lecture & Conference Award Banquet with a three-course lunch.
- Delegates registered as students are automatically enrolled in the conference volunteer programme for three to six hours. Please note that we will require proof of your student status, which can be uploaded within the registration form (pdf, docx or doc files only)
- Delegates using On-Site registration will not appear on the printed Delegate List, and can only receive a digital copy of the conference participation certificate. Please note that On-Site registration is only open to delegates who do not intend to give a presentation. If you wish to present, you must register in advance using the online registration form.
- We support single parents by permitting children aged 13-18 to attend and providing childcare facilities for them. Please note that you must register any children as accompanying persons. Unregistered children will not be permitted to remain.
- The fee for accompanying persons (spouses and children) covers an invitation letter, accommodation, the welcome reception, lunches, conference banquet and field trip. Accompanying persons are not permitted to attend any academic sessions, except for the presentation(s) given by the person they are accompanying.
- If you wish to give more than one presentation or poster, a surcharge of £125 will apply.
- Registration fees do not include any kind of insurance. It is strongly recommended that delegates and accompanying persons purchase an adequate insurance policy for their protection.
- Delegates whose papers are accepted receive a letter informing them of this. This letter is not a formal letter of invitation, and thus unsuitable for visa application purposes. Your visa application is likely to be rejected if you attempt to use the acceptance letter as evidence. NSCJ can provide a formal letter of invitation for a charge of £29-£79. - It is recommended that, wherever possible, delegates requiring UK visa apply for this at least 3 months in advance.
- There will be facilities to have your picture taken at the conference, both individually and in your section group. In order to obtain a copy of your picture, you must have a USB flash drive on hand at the photo session. We cannot supply you with a copy at a later time.
Cancellation policy
- A full monetary refund will only be granted in the event that NSCJ cancels the conference. Please note that this refund does not include any transaction charges. Furthermore, any additional transaction charges incurred by the refund must be paid by the delegate.
- Delegates who are unable to attend due to a denied visa application may receive a monetary refund of their registration fees minus a £100 cancellation charge. Delegates wishing to claim this refund must supply evidence of a denied visa application. Delegates who failed to obtain a formal letter of invitation from NSCJ are not eligible for this refund under any circumstances.
- Delegates who wish to cancel their booking for any other reason may do so up to 30 (thirty) days before the first day of the conference. They will receive a refund of their registration fees minus a £100 cancellation charge, in the form of NSCJ credit valid for 1 (one) year. This credit can be used to contribute to registration fees at any NSCJ event. Note that this credit is given as-is and will not be adjusted for inflation.
- It is not possible to cancel within the 29 (twenty-nine) days before the first day of the conference for any reasons other than a denied visa application.
- It is your responsibility to inform us of a denied visa application as soon as possible. If your visa application was denied 28 (twenty-eight) days or more before the conference, you must inform us by 21 (twenty-one) days before the conference, otherwise you will not be granted any refund.
